Job Purpose

Sales Administrative Assistant (SAA) provide support to the management team within a Cigicell's Business Development / sales department. The SAA will be responsible for performing support duties like completing expense reports or sales proposals, and carrying out administrative tasks such as coordinating meetings, teams travel arrangements and office communications. A sales administrative assistant works with sales department management to provide office support to field representatives. These positions require candidates to possess a strong knowledge of technology and office operations, as well as vocational training or a degree in business.

Responsibilities

Reporting

  • Compile weekly Call Cycle and Activity Reports for management.
  • Record keeping responsibilities to include sales and expense reports.
  • Electronic databases and sales proposals for prospective customers.
  • Help consolidate monthly report for the sales team.

General Office Administration

  • Administrative duties include plan meetings and ensure that sales representatives in the field are in contact with head office staff.
  • Assist Sales reps with any HR/payroll issues.

Sales Administration

The sales administrative assistants is to;

  • Keep copies of submitted bids.
  • Keep contact list of current and prospective clients.
  • Consolidate and provide for the team the list of upcoming tenders, the closing dates and key contacts within the municipality.

Attend briefing session as and when required.

  • Keep all compliance documents required for all bids such tax clearance, company registration doc. BEE certificates etc.

Personal Assistant Duties

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

Customer Service

  • Interact with customers to provide and process information in response to inquiries, concerns and requests about products and services. To embody the “customer is king” philosophy. Deal directly with customers either by telephone, electronically or face to face Respond promptly to customer inquiries Handle, and resolve customer complaints. Communicate and coordinate with internal departments. Provide feedback on the efficiency of the customer service process.

Collaboration

  • The ability to work in conjunction with other internal and external parties towards the achievement of a common goal. Demonstrates respect for the opinions of others. Identifies and pushes for solutions in which all parties can benefit. Helps and supports fellow employees in their work to contribute to overall University success. Keeps people informed and up-to-date. Shares information and own expertise with others to enable them to accomplish group goals.

Reporting

  • Reports are sent to management weekly. Keep all sales and expense claim’s updated into a report. Maintain databases and prospective sales proposals. Ensure that the monthly report for the sales team is consolidated timely and submitted.

General Office Administration

  • Ensure that field sales reps are scheduled to attend regular meetings. Assist with submitting sales reps expense claims before payroll cut off.

Sales Administration

  • Ensure that all company documents are maintained and filed in a timely manner. All contact list’s at to be maintained. Ensure that all event’s / tender deadline’s  are in all calendars. Ensure that copies of all Company documents required for tenders are updated.

Personal Assistant Duties

  • Ensure there are no diary scheduling conflicts. Travel arrangements to be planned and confirmed with the exec ahead of time and in accordance with the Company policy.

Customer Service

  • Receiving positive feedback from customers. Ensure customer also receive positive feedback Regularly Regarding any query or inquiry. Ensure communication and coordination with Internal departments is maintained at a top level and give Regular feedback to both internal and external customers.

Collaboration

  • Ensure internal and external staff and customers are kept informed and receive positive feedback from internal customers as well as your timeous feedback to internal customers to accomplish group goals. Working with team members to do a task and to achieve shared goals. Demonstrates respect for the opinions of others and Identify and push for solutions in which all parties can benefit.
Requirements of the Job
Experience
  • 1 – 2 years Secretarial and/or Administration Experience (Sales an advantage)
  • Experience in CRM systems (an advantage)
Minimum qualifications
  • Matric Grade 12 National Certificate (minimum)
  • Secretarial and/or Administrative Diploma (an advantage)
