Job Purpose

The incumbent is responsible for executing and supporting the administrative function for the regional teams.  This includes, but is not limited to, customer information integrity management, generating of reports, stock management and customer service activities, promotion implementation enablement, as well as general office administration.

Responsibilities

Core Functions:

  • Master data custodian and management
    • Review master data with Regional Managers
    • Create weekly and monthly plans to clean up:
      • Customer details (Name, telephone numbers, address and geocode/ GPS, account name)
      • Channel and segment
    • Create reports to review progress against plans and gap analysis
  • Reporting to enable high performance
    • Create weekly reports for Regional managers in preparation of sales meetings
      • ALL KPIs aligned to Regional scorecards and strategy
    • Gap analysis defined by:
      • Geography
      • Channel
      • Product
      • Customer Relationship Consultant/ Trade Controller/ Business Partner Hub
    • Review progress against WTD, MTD, QTD, YTD
  • Enable effective promotional implementation
    • Co-ordinate reach as per IAP KPIs
    • Co-ordinate and facilitate feedback on progress of implementation to Commercial Team
    • Promotional performance updates versus plan
    • Receiving of merchandising
    • Allocating of merchandising to CRCs
  • Customer retention enabled
    • Engage customers to enable insights and action planning
  • Co-ordinate technician service tasks to enable customer service
    • Daily allocation of tasks against customer requirements
  • Stock Control
    • Maintain minimum stock levels of hardware and ensure stock is ordered timeously.
    • Ordering and verifying of all stock received and ensuring that there is enough to execute vs business plan
    • Monthly stock take of hardware and ensure that all hardware stock received is  accounted for on CRM, and all variances are closed out
    • Ensure stock movement compliance on CRM for all devices to reduce risk
  • Enable customer sign on process and trading
    • Scan contracts to CIC
    • Facilitate device set up for deployment
  • General Office Administration
    • Compile Company vehicle inspection and usage report (logbook)
    • Order stationery as needed
    • Reception & Secretarial duties where necessary
    • Facilitate facilities upkeep, maintenance and creating a healthy working environment
    • Support and lead health and safety initiatives and compliance
    • Maintain social system calendar
  • Co-ordinate the onboarding and induction of new employees
Requirements of the Job
Experience
  • Basic Microsoft Office (Word/Excel/Outlook/PowerPoint/ Sharepoint)
  • 3 years Secretarial and/or Administration Experience
  • Sales experience will be an advantage
Minimum qualifications
  • Matric
  • Secretarial and/or Administrative Diploma
